Privacy notice
Last updated: 8 June 2026
Draft for review. This notice is a starting point and must be reviewed and approved by a qualified data-protection adviser before HelloAI onboards learners. It is not legal advice.
Who we are
HelloAI is a learning platform for healthcare professionals, operated as part of the HelloAI initiative. For questions about your data, contact privacy@helloaiprofessional.com.
What we collect
- Account: your email address (to sign you in).
- Profile: your name, and optionally your institution, country, date of birth, and gender. Date of birth and gender are always optional.
- Learning activity: which units you complete, quiz attempts and scores, and certificates earned.
- Consent record: the date you accepted this notice.
Why we use it and our lawful basis
- To provide the service (run your account, track progress, issue certificates) — performance of our agreement with you.
- To send sign-in links and essential notices — same basis.
- For program reporting and improvement (aggregate completion, demographics where you chose to provide them) — our legitimate interest in running and improving the program, balanced against your rights. You can decline the optional fields.
Where your data lives
Your data is stored in the European Union (our database and email provider are configured for EU regions). Sign-in emails are sent via a third-party email provider; embedded course videos are served by the video host (e.g. YouTube or Vimeo) when you play them.
How long we keep it
We keep your data while your account is active. You can delete your account at any time from your profile, which removes your personal data and learning records.
Your rights
You can, at any time: access and correct your details on your profile; download a copy of your data; and delete your account. To exercise any other right (objection, restriction, complaint to a supervisory authority), contact us at the address above.
Sharing
We do not sell your data. Administrators of the HelloAI program can see learner progress and the details you provide, for program management. Service providers (database, email, video, hosting) process data on our behalf under appropriate agreements.
